I have a combo box on multiple data entry forms designating the employee who entered the record.  The Row Source is set to a query showing all "active" employees.  When an employee is inactivated, the employee name disappears from the combo box on the data entry forms.  I understand why it's doing that but what can I do to prevent it?  My clients want to see the name of the employee who entered the record whether they are still employed or not.  Any help with this would be appreciated.

Separate the Combo Vox from the VALUE in the field.  That way, the VAALUE will always be displayed properly...

I'm guessing the purpose for only showing Active employees is so that you can't select an inactive employee.  So, add another column to the combobox to show the employee Status, change the rowsource to return all employees and their status. In the combobox's beforeupdate event, check the status, and don't allow if not Active.

Mark, thanks for the reply - you pose an interesting solution, however I'm not sure if my clients, when given the entire list of employees, wants to scroll through the entire list to select a particular active employee.  In other words, I deal with an industry with high turnover, I have some clients who have 100+ employees in their table and 70+ are no longer active.

I think I'm first going to give Dale's suggestion a try - to separate the value from the combo box, and see if I can figure that out.

Another option is to modify the rowsource for the combobox in the form's Current event.  If a new record, make the rowsource return only Active employees.  If an existing record, display all employees so a name will always show.  I'm assuming that your Employee table has an EmployeeID as the PK, and this is what is stored in the record behind the form.

Sort the inactive employees to the bottom...
